Exhibition Terms and Conditions

Allocation of Booth

The Exhibitor may inform the Organizer their preferred choice of Booth(s) via the application form provided. This is not considered a right or entitlement to the Booth(s).
Booth allocations shall be confirmed only upon the Organizer’s notification to the Exhibitor. 
The Organizer reserves the right to re-allocate the Exhibitor Booth(s) at any time in its sole discretion if deemed in the best interest of the Exhibition as a whole.


Invoice will be sent within 1 month (30days) to the email address providedPlease note that late payments might result in a cancellation of your booth.


If exhibitors, by way of advance written notification to the Organizers, withdraw its application up to 3 months prior to event, a charge equivalent to 75% to the total cost. For withdrawals within 3 months prior to event is, the payment will be 100% of the total cost.

Change of Booth

If a request if made to change Booth(s) and the price of the requested booth(s) is higher, the Exhibitor shall incur the difference in price and pay the balance amount according to the prescribed deadline.
If the price is lower, there shall be no refund for the difference in price.

Exhibitors Passes 

It is not permitted to give the pass to another person to gain access to the exhibition ground. Lost, forgotten passes will not be replaced


The Exhibitor agrees that the exhibits are required to be suitable for the nature and purpose of the Exhibition
The following goods falling within, but not limited to any of the categories listed below, are not allowed for exhibition:

  • Illicit drugs or other legally probibited goods;
  • Medical devices such as contact lens;
  • Flammable, explosive or radioactive materials;
  • Any goods infringing on or likely to infringe upon the intellectual property rights of others
  • Goods likely to conflict with or violate any laws, regulatory requirements, or codes applicable in Singapore
  • Any goods that the Organiser, at its sole discretion, believes may diminish the quality or success of the Exhibition

Force Majeure 

Cancellation of the Event: If AIM Asia is prevented from holding the event for reasons outside its own control or that of the exhibitor, all claims to the stand rental become void. 
Rescheduling of the Event: If AIM Asia is in a position to hold the event at a later date it must notify exhibitors immediately. Exhibitors are entitled to cancel their participation in the event if it is rescheduled, provided such cancellation is given within one week following receipt of this notification. In such cases claims for payment of stand rental no longer apply.
For Events that have already commenced: If AIM Asia is obliged to shorten or cancel an event that has already begun, as a result of force majeure, exhibitors are not entitled to assert claims for repayment or for exemption from the stand rental charge.

Photographs and Film, Video and Sound Recordings 

AIM Asia is entitled to take photographs, making drawings, or to make film or video recordings of events taking place at the fair, of structures and stands, or of exhibits, and to use these for advertising purposes or for publication in the media. No objections for whatever reason by exhibitors will be entertained. This also applies to photographs or recordings made directly by the press or television with the approval of AIM Asia. 


The Organizer shall take reasonable security precautions in the interest of the Exhibitors and visitors. However, the Organizer shall not be held responsible for any loss or theft of Exhibits in the Exhibition during the build-up to period of the Exhibition and dismantling period. The Organizer shall also not be responsible for any loss or damage to exhibits or any articles belonging to the Exhibitor during the same period.


No animals are permitted on the Exhibition Grounds. Water required for use in connection with foodstuffs or for the cleaning of utensils coming into immediate contact with foodstuffs may only be obtained from taps supplying hygienic water. Water for such purposes may not be obtained from toilet facilities.

Enviornmental Protection 

Exhibitors are required to make every effort to protect the environment.

Removal of Exhibits

Exhibitors shall remove all exhibits from the exhibition hall within the period stipulated by the Organizer and shall fully indemnify and hold the Organizer harmless against any loss caused by reason of the Exhibitor’s delay or damage to the exhibition hall.
